Shipping Policy

How freight is calculated, quoted, and delivered.

Hydro Supply & Co. ships commercial horticultural equipment and supplies throughout the United States. This policy explains how shipping is calculated, when it is quoted rather than rated, and what to expect on delivery.

1. Where We Ship

We ship anywhere in the United States. We do not currently ship internationally.

2. How Shipping Is Calculated

Shipping is calculated per shipment when you check out, based on the goods in your cart and where they are going. Because we ship directly from each manufacturer, an order containing several brands normally travels as more than one shipment — see section 4.

Some products cannot be rated automatically. Heavy equipment, pallet freight and items shipping from overseas are quoted individually; your order is placed on hold, we obtain a freight cost, and we contact you with the figure before any payment is taken. You are never charged freight you have not seen.

3. Free and Flat-Rate Freight

Freight terms vary by manufacturer. Terms currently in effect include:

  • Matrix and Flexstar lighting — freight is free on qualifying orders of $10,000 or more.
  • Double-ended lamps — a flat $8 per lamp.
  • iHort propagation media — $70 per case and $400 per pallet.
  • Pallet and LTL freight — quoted per shipment to your delivery address.

Terms change as our manufacturers revise them. The figure shown at checkout is the one that applies to your order.

4. Multiple Shipments

An order spanning several manufacturers is split into separate shipments, each with its own freight and its own tracking. Where goods ship together from one facility, they are combined into a single shipment and a single freight charge rather than being charged twice.

Shipments arrive separately and may arrive on different days. You can pay for them together in one transaction if you prefer, and each still ships as soon as it is ready.

5. Processing and Transit Times

Orders are typically released to the manufacturer within one business day of payment clearing. Transit time depends on the origin, the destination and the service used; pallet freight generally takes longer than parcel shipping and is scheduled with the carrier.

Delivery estimates are estimates, not guarantees. We are not able to control carrier delays, weather or manufacturer stock issues, but we will keep you informed when we learn of one.

6. Freight Deliveries

Pallet shipments are delivered by an LTL carrier and require someone on site to receive them. Consider before ordering whether you need:

  • A lift gate, if you have no dock or forklift.
  • A delivery appointment, if your site cannot accept an unscheduled arrival.
  • Limited access or residential delivery, which carriers surcharge.

Tell us about these requirements when you order. Accessorial charges requested after a shipment has been quoted may be billed separately by the carrier.

7. Inspecting Your Delivery

Inspect the shipment before signing. Note any damage or shortage on the delivery receipt before the driver leaves, and photograph the packaging and goods. A shipment signed for clean is difficult to claim against, and carriers regularly deny claims on that basis.

8. Shipping Addresses

Enter the address where the goods should physically arrive. We ship to commercial addresses and cultivation facilities as standard; residential and limited-access deliveries may carry a carrier surcharge. We cannot deliver to PO boxes.

An address cannot be changed once a shipment has left the origin. Contact us immediately if an address is wrong — a redirect, where a carrier allows one, is charged to the order.

9. Sales Tax

Sales tax is calculated at payment from your delivery address, and is currently collected on shipments to Florida, where we are registered. Businesses holding a valid resale or exemption certificate are not charged sales tax once that certificate is on file with us — send yours to seanb@hydrosupply-co.com and we will apply it to your account.
